1. Background

Kilimo Trust (KT) is an independent Regional agricultural development organization working on agriculture for development across the EAC Region. It is registered in the Republic of Uganda, Kenya, Tanzania, and Rwanda, and it implements projects across all EAC Partner States. The core business of KT is to structure national and regional trade in agricultural products for enhanced wealth, food, and nutrition security for smallholder farmers and other Value Chain actors.

Kilimo Trust is implementing the Strategic Rice Initiative (SRI) Project and seeks to engage a qualified and experienced Data Entry Clerk to support the entry, cleaning, and archiving of project data. The assignment will involve processing farmer data for Quarter 4 of 2025 and Quarter 1 of 2026 to ensure completeness, accuracy, and proper documentation of records. 

2. Objective of the Assignment:

To support the timely and accurate entry, validation, cleaning, and archiving of SRI Project data for Quarter 4 of 2025 and Quarter 1 of 2026. The assignment aims to ensure that farmer-level information, covering 7,410 farmers and the interventions received, is complete, consistent, and readily accessible for reporting and analysis.

3. Scope of work

The Data Entry Clerk will be responsible for:

a) Undergoing training on the SRI-K data entry templates to ensure accurate and high-quality data entry.

b) Entering data for Quarter 4 of 2025 and Quarter 1 of 2026, covering a total of 7,410 farmers and capturing the interventions received by each farmer.

c) Verifying the completeness and accuracy of source documents prior to data entry.

d) Identifying and seeking clarification on any discrepancies encountered during the data entry exercise.

e) Cleaning and validating data to eliminate duplicate entries and ensure consistency.

f) Scanning documents for archiving in the Kilimo Trust SharePoint system and maintaining physical filing records.

g) Maintaining confidentiality and ensuring the security of all project data and records.

h) Supporting any other data management tasks assigned by the supervisor related to the as-signment.

4. Qualifications and Experience:

The ideal candidate should possess the following:

a) A Degree or Diploma in Information Technology, Computer Science, Statistics, or a related field.

b) Proficiency in Microsoft Excel and other Microsoft Office applications.

c) At least one (1) year of experience in data entry or data management in a reputable or-ganization.

d) Availability to undertake the assignment for the full ten (10) working days.
