Duration: Six (6) Months
1. About Kilimo Trust (KT);
We are a not-for-profit organization working in Agriculture for Development across the East Africa community – in Kenya, Rwanda, Tanzania and Uganda. Kilimo Trust is a go-to implementing partner for inclusive and sustainable market-led Agricultural value chain development in the East Africa region.
2. Purpose of the Internship;
Kilimo Trust is seeking to recruit a highly motivated and detail-oriented graduate as a Procurement and Administration Intern to learn and provide support in the Administration and Procurement functions. This Internship offers an excellent opportunity to gain hands-on experience in administration and procurement management within a dynamic, East Africa–based Non-Governmental Organization .
3. Responsibilities
Procurement Support;
Analyze and reconcile supplier’s invoices for all ordered and supplied goods and services ensuring they are adequately supported a daily basis.
Receive Activity participants listing from programs team and ensure they are properly reconciled before preparing and submitting invoices to finance for payment.
Work closely with Finance and seek out clarifications with suppliers on invoices submitted.
Scan through the LPO book on a weekly basis and follow through outstanding suppliers’ invoices.
Record all issued LPOs on a daily basis.
Receive goods from suppliers and verifying against the LPO in consultation with the users.
Ensure ordered services and goods are provided satisfactorily as per the specifications and subsequent invoicing for such services/goods received are accurate and come in a timely manner.
Maintain an up to date and easily accessible filing system for all procurement documents
4. Administrative Support;
Support the KT Admin Assistant to ensure clean, safe, secure and well-maintained office.
Support track and maintain all office lease agreements and ensure they are renewed in timely manner.
Support monitor the performance of service providers to ensure value for money and compliance.
Manage office supplies & stationery and monitor re-order levels.
Support in tagging and updating the KT asset register and tracking asset movements.
Support annual physical verification of inventory and maintain records for accountability.
Support in the management of the KT conference rooms and ensure they are well maintained.
Assist in the allocation of sitting space for new staff, Associates and Interns.
5. Technical & Behavioural Competence Requirements
Fairly strong understanding of procurement function.
Basic understanding of office management and administration.
Ability to support both procurement and office administration.
Good Communication & Interpersonal skills.
High level of integrity, confidentiality, attention to detail, and professionalism.
Ability to interact professionally with staff at all levels.
6. Educational Qualifications and Experience Required:
First Class or Upper Second bachelor’s degree preferably in Procurement, Supply Chain Management or related field obtained not more than two years ago.
Strong knowledge of procurement & supply chain management with a blend of general Administration.
Proficiency in MS office suit, especially Word, Excel, PowerPoint and Emails.
Previous internship or volunteer experience in similar & busy Procurement Department is preferred.
Full or part CIPS certification is an added advantage.
